How do I add dependents and family scaling to a quote?
Quotes are priced household by household, so adding each employee's spouse and children gives your client a more accurate quote. Once dependents are on the census, you can choose to give employees extra funding for them with Family Scaling.
Step 1: Add dependents to the census
Start a quote from Generate Quote in the left sidebar. On the Employee Data step, under Employee Demographics, choose how you'd like to add your census:
- Upload CSV: Click Download Template, fill it in, then drop the file in to preview and import it. Every column is required: First Name, Last Name, Date of Birth (MM/DD/YYYY), Relationship, Home Zip, Tobacco User and Employment Type.
- For Relationship, use Employee, Spouse or Child.
- List each employee first, then their spouse and children in the rows right below. The next Employee row starts a new household.
- Leave Employment Type blank for spouses and children.
- Quick Entry: Add people one row at a time. Use the Add Dependent button on an employee's row to add their spouse or child, or click Full Family under Quick Add Common Scenarios to start from a family template.
- Bulk Paste: Copy and paste your census straight from a spreadsheet.
Already added an employee? Open the Employee List tab, click the three dots (…) next to the employee and choose Add Dependent. From there, click Quick Add Spouse or Quick Add Child, or enter their details yourself.
Each quote can include fewer than 50 employees.
Step 2: Turn on Family Scaling (optional)
After Employee Data, Build Quote walks you through four steps: Structure, Coverage, Family and Review. On the Family step, switch on Family Scaling ("Offer additional funding for dependent coverage"), then set:
- Funding per dependent:
- With a Flat structure, this is a percentage of the employer's per-employee contribution, from 0% to 100%.
- With a Smart structure, it's a flat dollar amount per dependent each month, added on top of the Smart Rate base.
- Maximum dependents for scaling: The most dependents per household who get the extra funding, from 1 to 10.
The example next to these settings shows what an employee with dependents would receive, so you can check the numbers before you move on.
Good to know: Family Scaling applies to full-time and salaried employees. Part-time and hourly employees receive their base contribution only.
If you'd rather not add dependent funding, leave the switch off and continue to Review.
Need to change a quote you already sent?
Go to Pipeline, open the actions for that client and choose Requote. Your previous quote fills in, so you can add or edit dependents and run it again. See How do I re-quote a client?
